Terms and Conditions
Effective 30 August 2026
These terms govern use of the Society AI site and services. Read them before you create an account, pay dues, or use the forum. Using the service means you accept these terms.
1. Acceptance
These Terms and Conditions are a legally binding agreement between you and the operator of the Society AI platform at society-ai.org.
By creating an account, joining the community, signing in, or buying membership, you confirm that you have read, understood, and accepted these Terms and Conditions and our Privacy Policy. If you do not accept some or all of them, do not create an account, sign in, or use Society AI.
2. Who may use the service
This service is for people aged 18 and over. By registering, you confirm that the data you give is true, that you can enter this agreement, and that you use the account for yourself. One person, one account, unless the operator gives written permission.
The operator may refuse registration, delay activation, or close access if the data is doubtful, if there is a sign of abuse, or if that is needed to protect the system and other members.
3. Account and security
You are responsible for your password, your devices, and all activity on your account. Tell us at once if someone else is using it. Society AI is not required to cover losses caused by a leaked, lent, or left-open account.
Sign-in codes, sessions, and verification links are only for the account holder. You may not ask for someone else’s code, break into an account, or automate login in an unreasonable way.
4. Not an ownership stake
An account, member card, member number, and dues give access to features in the system. They are not shares, not voting rights beyond what the operator sets, not employment, and not a business partnership. The Society AI name, site design, and infrastructure remain with the operator.
5. Account levels, membership, and access
Society AI has two account levels:
- Free account (no membership): You may manage an academic profile, read all AI research forum topics (read only), follow the event calendar, preview the digital member card, and read community guides. A free account cannot post or reply in the forum, register for events, receive e-tickets, issue e-certificates, download or print an official card, or browse the member directory.
- Active member (paid membership): Full access to the platform, including writing and answering in the forum, registering for seminars and workshops, official QR e-tickets, verified e-certificates, an official 16-digit digital card, directory access, and benefit vouchers.
The price, billing cycle, and benefits that apply are those shown on the membership page when payment is started.
Successful payments and active membership are not refunded, including if you cancel mid-period, rarely use the service, or your account is hidden or limited after a breach. Refunds are only considered for a proven system failure or a proven double charge.
Stopping renewal ends active-member benefits after the current period. Membership vouchers have their own validity and terms and cannot be cashed out.
6. Member card, ID number, and e-certificates
The member card is an official digital identity inside Society AI. It is not a credit card, not a national ID, and not a professional license. The official 16-digit number and public verification QR are issued only to active members. Free accounts only get a card preview, without an official ID and without a live public QR.
Print, two-sided PDF download, and sharing the official card are available only to active members. You may not forge, sell, or misuse a member number or the card format.
An e-certificate is proof of participation or recognition in a Society AI event. It is issued to active members who have completed attendance. The operator may revoke an e-certificate if attendance data was manipulated or rules were broken.
7. Forum and user content
All forum topics can be read by every user. Starting a post, replying, liking, saving a topic, and marking an answer are reserved for active members.
Posts, comments, and files you upload remain yours. By uploading, you give Society AI a non-exclusive license to display, store, and moderate that content on the platform. You confirm that the content is lawful and does not contain hate speech, malware, or confidential data you have no right to share.
Moderators and organizers may pin, lock, hide, or delete a post that breaks the rules, without a duty to compensate.
8. Events, registration, and e-tickets
Event dates and the calendar can be seen by every user. Registering, claiming tickets, and issuing official QR e-tickets are limited to active members.
An e-ticket is valid only in the Society AI system. Each participant must keep their ticket private. Organizers may refuse entry if the ticket is invalid, the quota is full, or the participant breaks event rules.
9. Member directory and network contact
The member directory is for active members. Free accounts cannot open it.
You may not copy, scrape, or mine directory data in bulk for commercial use or spam. WhatsApp contact between members may only be used for reasonable academic collaboration.
10. Public verification
Anyone with a member number or e-certificate code can open the verification page. That is intentional. Do not put private data into a number, display name, or document that you share in public.
11. What you may not do
- Forge identity, dues, tickets, cards, or e-certificates.
- Attack, damage, or overload the system, including mass scraping, repeated login attempts, and reverse engineering meant to copy the service.
- Sell, rent, or transfer an account.
- Upload banned material, hate speech, child sexual abuse material, violence, or content banned under Indonesian law.
- Use the Society AI name as if you represent the operator, unless you have lawful authority.
A breach can lead to a warning, limited features, revoked e-certificates, cancelled membership without a refund, a closed account, and legal action.
12. The operator’s rights over the service
The operator may add, change, limit, or stop features, including for maintenance, security, or community policy. We will try to give reasonable notice, but we do not guarantee uninterrupted service. Society AI is provided as is.
The operator may use operational data, logs, and backups to keep the system running. That is not a privacy breach if it follows the Privacy Policy.
13. Intellectual property
Design, code, marks, operator-owned text, card layout, member-number format, and e-certificate code format are protected. You may not copy, redesign, or use those assets for a competing service without written permission. Member content remains with each author, with permission to appear in the system as set out in the forum section.
14. Third-party payments
If you pay through Midtrans or another channel, you are also bound by that provider’s terms. Failure, delay, or refusal on the payment provider’s side is not a Society AI default, as long as we record the status they send in good faith.
15. Ending an account
You can request deletion from the profile. Organizers review that request. Active membership must be settled first. The operator may close an account that breaks these terms, harms other members, or threatens system security, with or without prior notice if the situation is urgent.
After an account is closed, access to the forum, card, tickets, and directory stops. Data that must be kept by law, or that already appears on public verification, may remain as set out in the Privacy Policy.
16. Disclaimer and limit of liability
Society AI does not guarantee a particular result from membership, the forum, or events. The operator is not responsible for member conversations, organizer decisions outside the system, network outages, faults on your device, or indirect loss such as lost opportunity, lost data on your own device, or reputational harm.
As far as Indonesian law allows, the operator’s liability to you for any claim related to this service is limited to the dues you paid to Society AI in the 12 months before the claim, or zero if you paid no dues. This cap does not reduce rights that cannot be waived by law, including applicable consumer rights.
The operator, officers, and system owners do not cover losses caused by you using the service unlawfully, giving false data, or handing the account to someone else.
17. Indemnity from you
You will protect the operator, officers, and system owners from reasonable claims, costs, and losses that arise from your content, a breach of these terms, or use of your account by someone else through your neglect. This section does not make you cover a fault that sits only with the operator.
18. Events outside reasonable control
The operator is not in default if the service is delayed or stopped by something outside reasonable control, including disaster, power failure, network failure, government policy, or a fault at the hosting or payment provider.
19. Law and disputes
These terms follow the law of the Republic of Indonesia. If there is a dispute, we will first try to settle it by discussion within 30 days of written notice. If that fails, the dispute goes to a competent court in Indonesia.
If one clause cannot be applied, the others still apply. Failure to enforce one right does not mean that right is waived. These terms are the whole agreement for use of the platform, and they replace earlier spoken statements about the same subject.
20. Changes to the terms
The operator may update these terms. The binding version is the one on this page when you use the service. If a change is important, we may post a notice on the site. Using the service after an update means you accept the new version.
21. Contact
For these terms, contact privacy@society-ai.org or the official channel inside the member space. Notices to you may be sent to the account email or shown on the site.
